What should you check before reporting wrong information?
Before reporting wrong information, check two things: that the document is for the right entity, and the date its information is as at. The name and registration number on the document should match the entity you searched for, and SSM's sample Company Profile prints, at the top of each page, the date its information is as at. Note that date and the line you think is wrong.
A company such as a Sdn Bhd or Berhad has a Company Profile, and a business registered under ROB has a Business Profile; the company profile vs business profile comparison sets the two side by side. For a wrong director, shareholder or financial line, the guides to finding a company's directors and shareholders and getting a company's financial information cover those documents.
What if SSM's record of another company looks wrong?
If SSM's record of a company you are checking looks wrong, first compare the document's as-at date with the date of the change: under section 58(1) of the Companies Act 2016, a company notifies the Registrar within fourteen days when a person becomes or ceases to be a director. A document bought on SAFEDATA-SSM can be reported to its customer service, which escalates the case to SSM.
SSM's Practice Note 6/2019 lists who counts as the applicant making the declaration for a rectification: a director or promoter, the secretary, a receiver, a nominee, a judicial manager, a liquidator, or "any other interested person who has been allowed to lodge document(s) under the Act". For SSM's own records, SSM's guideline for business changes gives the SSM Contact Centre:
- SSM Contact Centre
- 03-7721 4000
- SSM e-mail
- enquiry@ssm.com.my
The SSM Company Profile on SAFEDATA-SSM page explains what a company's profile contains.
What if your own business, company or LLP record is wrong?
When the wrong detail is in your own record, the correction is made with SSM. A business registered under ROB registers a change of business particulars on EzBiz Online or with Form B within 30 days. A company lodges updates on CRS, or applies to rectify a wrong entry under section 602 of the Companies Act 2016. An LLP applies under section 71 of the Limited Liability Partnerships Act 2012.
"The accuracy of information contained in documents submitted to the Registrar is important to ensure that public reliance on such information is not compromised. As such, any person lodging documents with the Registrar must ensure that the information lodged is accurate and not misleading."
| What is wrong | Who applies | Where | SSM's fee |
|---|---|---|---|
| A business's (ROB) particulars have changed | Owner or a partner; all partners for owner details | EzBiz Online or Form B, within 30 days | RM20 |
| A company's incorporation information | An authorised CRS user | CRS, online | RM300 |
| Another entry in SSM's register for a company | A director, the secretary or another applicant | An SSM counter or CRS | RM300 + filing fee |
| An entry in SSM's register for an LLP | A partner, the compliance officer or the liquidator | MyLLP, online | RM150 |
How does a business register a change of business particulars (EzBiz Online or Form B)?
A business registered under the Registration of Businesses Act 1956 must submit any change in its registered particulars to SSM within 30 days of the change, under section 5B of that Act. SSM registers changes of business address, type of business, branch particulars and owner or partner information, online on EzBiz Online or over the counter with Form B, according to its Making Changes page.
- Deadline
- 30 daysafter the change (ROBA 1956, s.5B)
- Fee
- RM20to register the change
- Each branch
- RM5a year
- Penalty
- RM10,000maximum fine, or up to one year's imprisonment, or both
The owner or one of the partners can notify a change of address, business type or branches; a change of owner or partner details needs all partners. SSM's guideline for changes of business particulars adds that only an active business can register changes, that an EzBiz Online applicant must first be registered as an EzBiz Online user, and that a person who carries on the business without submitting the change commits an offence (the penalty above). Where particulars recorded in the register are incorrect, section 7 of the Act lets the High Court, a Sessions Court or a Magistrates' Court order the Registrar to rectify the register.
How does a company update its details on CRS?
A company lodges changes to its details as updates: SSM's Updating Company Information page lists, for example, the notification of change in registered address (section 46) and in the register of directors, managers and secretaries (section 58). Since Phase 1 of the Corporate Registry System (CRS) began on 14 July 2026, statutory company documents are lodged on CRS, which replaced MyCoID; annual returns and financial statements are still lodged through MBRS.
CRS is open to authorised users, who include company secretaries and directors, according to SSM's CRS FAQ.
How does a company apply to rectify SSM's register (section 602)?
A company corrects a wrong entry in SSM's register by applying to the Registrar under section 602 of the Companies Act 2016, with evidence and a RM300 fee. SSM's Practice Note 6/2019, revised on 24 January 2022, sets out what goes with the application:
- Grounds
- An entry that is contrary to law, false or misleading in a material particular, not duly completed because of an omission or misdescription, or incorrect or erroneous.
- Evidence
- The application form with supporting documents certified by the company secretary or agent, such as a copy of an identification card, an appointment letter, the register books, a stamped share transfer form or a resolution.
- Amended document
- Lodged with the corrections underlined, marked "This is filed by way of amendment to the Form ... dated ... which is erroneous" at the top right of its first page, with the applicant's declaration justifying the rectification.
- Fee
- RM300 (Item 39, Companies Regulations 2017), plus the filing fee for the amended document.
- Refused when
- Among other grounds, the document was lodged more than 7 years earlier, or the court has granted a winding-up order against the company.
Where the application goes, according to SSM's CRS FAQ and the Practice Note:
- Company incorporation information: online on CRS (Incorporation, Post Incorporation, Rectification of Registers), with an application form, a statutory declaration and a RM300 fee.
- Other entries in the register: SSM's service counters accept rectification applications except those on company incorporation, charges and interest schemes, and CRS lists Rectification among its services.
- Charges: a wrong charge entry follows the Companies Act 2016's separate rules on charges (Subdivision 1 of Division 7 of Part III), not the Practice Note; ask SSM.
How does an LLP apply to rectify the register?
A limited liability partnership applies to the Registrar under section 71 of the Limited Liability Partnerships Act 2012 when an entry has been omitted, is incorrect or has been included in error, according to SSM's Practice Note 1/2019. The supporting documents are certified by the compliance officer, the amended documents are lodged online on MyLLP with the corrections underlined and a declaration, and the application fee is RM150.
Frequently asked questions
What is the difference between updating and rectifying an SSM record?
Updating records a change: a business registered under ROB submits a change of particulars within 30 days on EzBiz Online or with Form B (RM20, SSM's Making Changes page), and a company lodges its updates on CRS. Rectifying corrects an entry that is wrong: a company applies to SSM's Registrar under section 602 of the Companies Act 2016, with evidence and a RM300 fee (SSM Practice Note 6/2019).
What happens if SSM refuses a rectification?
SSM's Practice Note 6/2019 says the Registrar notifies the applicant of a refusal in writing, together with the grounds. The Registrar's decision is final, but an aggrieved applicant may appeal to the court, and the court may order the Registrar to rectify or amend the register. A rectification order made by the court is lodged with the Registrar within the time the court sets, or within 14 days of the order if it sets none.
What if I got the SSM document somewhere other than SAFEDATA-SSM?
Ask whoever supplied the document about it. For SSM's own records, SSM's guideline for changes of business particulars gives the SSM Contact Centre on 03-7721 4000 and enquiry@ssm.com.my. A business, company or LLP whose own record is wrong corrects it with SSM: a change of business particulars, a company update on CRS, or a rectification application.
Is a SAFEDATA-SSM document SSM's own record?
Yes: it is SSM's record, supplied through SAFEDATA-SSM. SAFEDATA-SSM's FAQ says its documents are sourced directly from SSM, and SSM appointed Safeguards KioskMedia (M) Sdn. Bhd. as its Technology and Service Provider for the SAFEDATA-SSM Services. SAFEDATA-SSM gives access to SSM's records; it does not rate companies or give advice.
