- SSM's Company Profile, RM13.24 on SAFEDATA-SSM (RM23.24 as a certified true copy), is SSM's current report on a company and names its directors, officers and shareholders.
- The Particulars of Directors/Officers adds the directors and officers of the last 15 years, and the Particulars of Shareholders adds changes in shareholding: RM23.24 each, or RM33.24 as a certified true copy.
- A company's directors and its shareholders are recorded separately, and a shareholder can be another company: follow it through that company's own Company Profile.
- To start from a person, SAFEDATA-SSM's Personal Involvement search is looked up by MyKad (IC) number and covers the companies in which that person is a director or shareholder.
- Information on who ultimately owns or controls a company, its beneficial owner, "is not publicly available", in the words of SSM's beneficial ownership guidelines.
Where are a Malaysian company's directors and shareholders recorded?
To check a Malaysian company's directors and shareholders, go to the records of SSM, the Companies Commission of Malaysia (Suruhanjaya Syarikat Malaysia), which keeps them from the notices each company lodges. A Sdn Bhd or Berhad must notify the Registrar within 14 days when a person becomes or stops being a director (Companies Act 2016, section 58), so a change made in the last two weeks may not appear yet.
SSM records who runs a company and who holds its shares separately: its directors/officers records name the people who run the company, and its shareholder records name the holders of its shares. SSM delivers these records online through portals run by service providers it appoints.
SAFEDATA-SSM, at safedata-ssm.com, is one of them. Safeguards KioskMedia (M) Sdn. Bhd., which publishes this guide, runs it and was appointed by SSM "as its Technology and Service Provider for the SAFEDATA-SSM Services", and SAFEDATA-SSM's FAQ says its documents are sourced directly from SSM. SAFEDATA-SSM gives access to SSM's records; it does not rate companies or give advice. The SAFEDATA-SSM guide lists its documents and their prices.
Which SSM document shows a company's directors and shareholders?
The Company Profile is SSM's current report on a company and names both its directors and its shareholders, so it is the place to start. The Particulars of Directors/Officers adds past directors and officers, the Particulars of Shareholders adds changes in shareholding, and the Shareholder Listing and Analysis shows which groups hold the shares.
| Your question | SSM document | Price, non-CTC / CTC |
|---|---|---|
| Who are its directors and shareholders now? | Company Profile | RM13.24 / RM23.24 |
| Who were its directors before? | Particulars of Directors/Officers | RM23.24 / RM33.24 |
| How has its shareholding changed? | Particulars of Shareholders | RM23.24 / RM33.24 |
| Which groups hold its shares? | Shareholder Listing and Analysis | RM33.24 (one price) |
| What shares has it allotted? | Particulars of Share Capital | RM23.24 / RM33.24 |
| Who is its company secretary? | Particulars of Company Secretary | RM23.24 / RM33.24 |
The last two rows are related records: the Particulars of Share Capital covers the shares the company has allotted, and the company secretary also appears as an officer in the directors/officers records. Start with the Company Profile, the cheapest of the six.
How much does each document cost on SAFEDATA-SSM?
Each SAFEDATA-SSM price is SSM's own fee plus RM3.24: the RM3.00 SAFEDATA-SSM service fee and 8% service tax (SST) on that fee. SSM's Company Information fee list gives RM10 for a Company Profile (RM20 as a digital certified true copy), RM20 for each particular (RM30 as a CTC) and RM30 for the Shareholder Listing and Analysis.
The CTC vs non-CTC guide compares the certified true copy with the plain copy.
What if it is a business, not a company?
For a business registered under ROB (Registration of Businesses), such as a sole proprietorship or partnership, the people to look for are its owners, and SSM's record is the Business Profile. SSM describes it as giving the business's name, registration number, registration and expiry dates, status and address, and "information of the current and previous owner".
- Record
- Business Profile
- Names
- The current and previous owner
- SSM's fee
- RM10, or RM15 as a digital CTC, plus the service fee and SST

To confirm the company's registration and status in the same search, read how to check if a company is registered in Malaysia.
What does each document show about a director or a shareholder?
SSM's sample documents show each director or officer with a name and address, an identity card (IC) or passport number, a designation such as DIRECTOR or SECRETARY, and a date of appointment. Each shareholder appears with an IC, passport or company registration number, a name and the number of shares held.
SSM's sample Company Profile is printed in Malay: directors and officers are under "MAKLUMAT PENGARAH DAN PEGAWAI" and shareholders under "MAKLUMAT PEMEGANG SYER", and each page carries the date the information is current to. The financial side is covered in how to get a Malaysian company's financial information. The three deeper documents:

What if you start from a person, not a company?
When you start from a person rather than a company, use SAFEDATA-SSM's Personal Involvement search: it gives information on the companies in which that person is a shareholder or director, looked up by their MyKad (Malaysian identity card) number. SSM describes Personal Involvement in Companies as information on "an individual's involvement as a director, shareholder, secretary, auditor or liquidator in any company".
- You enter
- The person's MyKad (IC) number
- You get
- Information on the companies in which the person is a director or shareholder
- Then
- Each company's Company Profile or particulars, for its full record
Do SSM's records show who really owns a company?
Partly. SSM's records show the shareholders on a company's register of members, and a shareholder can be another company, so tracing ownership can take more than one search. The person who ultimately owns or controls a company, its beneficial owner, falls under a separate reporting framework in the Companies Act 2016, and SSM states that beneficial ownership information is not publicly available.
- The company's Company ProfileLists its shareholders, each with an IC, passport or registration number.
- A shareholder that is a companyIn SSM's sample Company Profile, the only shareholder is another Sdn. Bhd.
- That company's Company ProfileSearch its registration number and buy its own profile.
- IndividualsRepeat until the shareholders are people.
SSM's beneficial ownership guidelines set six criteria for who is a beneficial owner of a company limited by shares. The first is holding at least 20% of the shares, directly or indirectly, including through joint interests, joint agreements and nominees, and under it SSM notes:
"In most cases of direct ownership, the beneficial owner would be listed as one of the shareholders. If the shares are held through indirect ownership, the beneficial owner will be determined based on effective interest."
Who can get a company's beneficial ownership information?
The Companies (Access to the Register and Information Relating to Beneficial Ownership) Regulations 2025 set who may obtain a company's beneficial ownership information from the Registrar, and the public at large is not on their list. SSM's beneficial ownership guidelines also state that a beneficial owner "is always a natural person". For anyone else, SSM's shareholder records are the record to buy.
- Public access
- "Not publicly available" (SSM's guidelines)
- Rules in force
- From 10 January 2025 (P.U. (A) 7)
- May obtain it
- The beneficial owner, or a person the owner authorises in writing
- Also
- Reporting institutions under Malaysia's anti-money laundering law, Bank Negara Malaysia, enforcement agencies, and government for procurement
