Company particulars: what each one is and costs.

Company particulars are SSM documents that each take one part of a company's record: its directors and officers, its shareholders, its share capital, its company secretary or its registered address.

SAFEDATA-SSM sells each company particular on its own, as a plain copy or a certified true copy, so you buy only the parts of the record your question needs. It also sells SSM's Shareholder Listing and Analysis, which lists a company's current shareholders and the percentage of its shares held by six groups of holder, such as citizens, non-citizens and bodies corporate; SSM's sample bases it on the latest register of members lodged.

Company particulars are documents on companies registered under ROC (companies such as Sdn Bhd and Berhad); a business registered under ROB (Registration of Businesses) has a Business Profile instead. SAFEDATA-SSM is run by Safeguards KioskMedia (M) Sdn. Bhd., appointed by SSM (the Companies Commission of Malaysia) as its Technology and Service Provider for the SAFEDATA-SSM Services.

A CTC is a certified true copy; SSM's digitally certified true copies are certified by POS Digicert Sdn Bhd. A particular's CTC costs RM33.24, RM10 more than the plain copy, only because SSM's own fee for the certified copy is higher: RM30 against RM20. SSM lists no CTC fee for the Shareholder Listing and Analysis. If someone asked you for a particular, ask whether they need a certified copy before you buy.

SSM's Company Profile is a current report that already lists a company's share capital, its directors and officers, its shareholders and its registered address, at RM13.24, or RM23.24 as a CTC. A company particular is the document to buy when you need one part of the record on its own, or its history: the Particulars of Directors/Officers goes back 15 years, the Particulars of Shareholders gives changes of shareholding, and the Particulars of Registered Address goes back to 31 January 2017.

Before signing with a company, for example, the Particulars of Directors/Officers shows who has been among its directors and officers over the last 15 years, and the Particulars of Shareholders shows the changes in who holds its shares.
